Executive Assistant to the Vice President of Campus Life and Dean of Students

The Executive Assistant to the Vice President of Campus Life serves as a support to the Vice President of Campus Life, the Dean of Students office, Office for Community, Advocacy, Resources, and Empowerment (CARE), and Van Ness House. The Executive Assistant serves as a key point person for constituents.

Job Responsibilities

  • Vice President for Campus Life:Oversee a portfolio of designated Campus Life operations for the following:
    • Manage various projects assigned by the Vice President of Campus Life
    • Manage timely correspondence for the Vice President of Campus Life
    • Support various College initiatives by coordinating meetings, distributing agendas, etc.
  • Dean of Students:
    • Assist with student conduct correspondence, file management, and meeting scheduling.
    • Process student emergency fund requests and track expenses/requests.
    • Complete student conduct history checks and requests for verification of student conduct history
  • Associate Dean of Students:
    • Assist with Student Conduct correspondence and meeting scheduling.
    • Process Student Emergency Fund requests and track expenses/requests.
    • Complete student conduct history checks and requests for verification of conduct history.
  • Assistant Vice President and Director of Athletics:
    • Provide support related to administration and department finances
  • Office of Community, Advocacy, Resources, and Empowerment (CARE):
    • Correspondence and meeting scheduling 
    • Provide support related to administration, events, and department finances
  • Provide day-to-day office administration and support to include but not limited to, greeting visitors, triaging needs, answering email and phones, website updates, upkeep of Rosemary House, ordering supplies, etc. 
  • Manage calendar and events for DOS/VPCL, ensuring effective time management. Schedule department-wide and other significant events, prioritizing using appropriate judgment to adjust as necessary.
  • Plan, Implement and Manage all Dean of Students office operations (including DOS/VPCL, Associate Dean of Student, and CARE Office).
  • Conduct financial transactions and budget monitoring for the Office of Campus Life. Reconcile transactions and spending for the DOS/VPCL and designated staff. Provide support in oversight and management of Campus Life.
  • Hire, supervise, and develop student staff. Manage a consistent and welcoming student staff presence in Van Ness House. Coordinate Van Ness House needs, including creating a warm and welcoming environment for visitors. 
  • Create and edit documents, reports, and presentations to support the DOS/VPSA in their work.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree from an accredited institution or equivalent work experience. 
  • At least 3 years' experience in administration or as an Executive Assistant. 
  • Experience with or knowledge of student life at a small, residential liberal arts college strongly preferred. 
  • Experience with monitoring budgets and making financial transactions strongly preferred.
  • Notary Public – or willingness to become certified as a Notary.

Desired Skills

  • Proficient with Microsoft Office suite (Outlook, Teams, Excel, Word, etc.). 
  • Strong attention to detail.
  • Excellent written and verbal communication skills to convey information professionally, promptly, and accurately.
  • Ability to take notes, transcribe meeting minutes, and respond to urgent communications.
  • Demonstrated ability to support a diverse college community.
  • Preferred – experience with software such as Maxient, Jenzabar, THD.
  • Ability to work occasional evening and weekend hours.

Salary and Benefits

Salary: $53,000 - $58,000.
