Administration Support Specialist – Public Safety

Lake Forest College is seeking a highly organized and detail-oriented Administration Support Specialist for the Department of Public Safety.

This critical role provides essential administrative support and manages the medical transport program. Hours are 7 AM to 3 PM Monday through Friday.

 Key Responsibilities

  • Management and dispatch of the medical transport program.
  • Tracking metrics and documenting all communications, incidents, and actions for the medical transport program.
  • Supervising student employees.
  • Preparing correspondence, memos, communication to staff, and reports for the Public Safety Department.
  • Responding to walk-in and phone requests for routine and emergency services, inquiries, and general assistance matters.
  • Paying invoices, monitoring the budget, and tracking expenses.
  • Scheduling meetings, overseeing the Director’s calendar and phone.
  • Assisting with vehicle supervision, regulatory compliance, and emergency protocol implementation.
  • Overseeing office operations; providing information and resources, serving as a backup for dispatchers, supervising break schedule.
  • Coordinating Public Safety interview processes; reviewing applications, serving on the interview panel, scheduling interviews.
  • Supporting training and development plans.
  • Planning staff events (quarterly and annual)
  • Maintain department files.
  • Placing orders for office supplies, general supplies, and uniforms.
  • Other duties as assigned.

 Required Qualifications

  • Excellent verbal and written communication skills.
  • Knowledge of document sharing and collaboration via cloud-based solutions.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to respond to demanding situations calmly and courteously.
  • Strong decision-making abilities, especially in high-stress situations.
  • Detailed and able to maintain precise records.
  • Valid driver’s license

 Preferred Qualifications

  • Associate’s degree or equivalent experience.
  • Bilingual preferred (English/Spanish)
  • Previous administrative support experience (2 years’ experience in a similar role)
  • Strongly preferred experience working in a college setting, working with students.

 Salary and Benefits

Pay Rate: $21.00 - $24.00 per hour
