Department Assistant for Facilities Management (Part Time)

Lake Forest College is seeking a detail-oriented Part-Time Department Assistant for the Facilities Management department. 

This is a year-round, part-time position, working 20 hours per week. Work hours are typically 9 AM to 1 PM. 

Job Responsibilities:

  • Financial Support primary responsibility: Manage invoicing, billing, and assists with tracking expenses.
  • Customer Service: Serve as a welcoming, customer-facing point of contact for the department, interact with vendors, faculty, and staff.
  • Administrative Tasks: Utilize the work order system, coordinate vehicle use, file, email, receive incoming shipments, place orders, answer phones, and distribute keys.
  • Additional Duties: Function as a back up to the Assistant Director which entails assisting with student employees and managing calendars.
  • Special Projects: Provide support for fundraisers and other Department initiatives as necessary.

Required Qualifications:

  • Previous administrative experience.
  • An Associate’s degree or equivalent experience.
  • Proficiency with Microsoft Word, Excel (moderate level), Outlook, and Teams. An aptitude and willingness to learn new computer-related skills.
  • Ability to track budgets and expenses.
  • Strong organizational and communication skills
  • Attention to detail and the ability to juggle multiple tasks simultaneously.
  • Willingness to take initiative and follow through on projects.
  • Ability to work effectively and professionally with students, staff, and faculty.
  • Valid driver’s license

Preferred Experience:

  • Bookkeeping and customer service experience.
  • Experience using a work order system.

 Pay & Benefits:

Pay rate: $18-22/hour
