Event Operations Coordinator
The Event Operations Coordinator supports the planning and execution of high-quality events at Lake Forest College, reporting directly to the Director of Events. This position plays a key role in assisting with the logistics and operations of events both on and off campus, serving internal College constituents as well as external partners and guests. The Event Operations Coordinator ensures that all event details are thoughtfully managed to provide a seamless and welcoming experience. Evening and weekend work is required.
Responsibilities
- Oversee all event logistics for assigned events, including scheduling, space management, vendor coordination, audiovisual and technical requirements, catering, signage, and décor, ensuring seamless event execution.
- Partner with internal and external stakeholders to develop comprehensive event plans that align with program goals, audience needs, and budget parameters.
- Serve as the primary point of contact during events, providing leadership, troubleshooting, and ensuring a positive experience for all participants.
- Develop and maintain detailed event documentation, including project timelines, run-of-show plans, budgets, post-event evaluations, and other performance metrics.
- Partner with marketing and communications teams to support event promotion and brand consistency.
- Identify new business opportunities that will assist in the growth of external rental revenue for the College.
- Uphold the College’s standards of professionalism, hospitality, and service, fostering strong relationships with clients, partners, and stakeholders.
Required Qualifications
- Bachelor’s degree or equivalent combination of education and experience.
- One year of related experience.
- Excellent organizational and project management skills, with strong attention to detail and the ability to manage multiple priorities.
- Strong interpersonal and communication skills for working with a wide range of audiences (e.g. students, parents, employees, board members).
- Ability to work independently and as part of a collaborative team (e.g. client, Facilities Management, food service vendor)
- Flexibility to work evenings and weekends as required by the event schedule.
Preferred Qualifications
- Event coordination or hospitality experience.
Physical Demands / Work Environment
- Must be able to work long hours, including evenings and weekends.
- Ability to stand and walk for extended periods of time during events.
- Must be able to lift and carry up to 25 pounds (e.g., event materials, signage, supplies).
- Comfortable moving furniture, setting up equipment, and assisting with event setup/teardown.
- Work is performed both indoors and outdoors, depending on the event location.
- Position requires adaptability to a fast-paced, dynamic environment.
