Executive Assistant to the Vice President for Information Technology and Chief Information Officer

Lake Forest College seeks an Executive Assistant to the Vice President for Information Technology and Chief Information Officer (VPIT/CIO) who is responsible for providing support to the VPIT/CIO in a fast-paced, detail-oriented environment. They will be responsible for supporting the operations of the Information Technology Services division, including providing support to the ITS staff, overseeing divisional purchasing, and managing special projects.

The Executive Assistant will serve as a member of the ITS leadership team and, along with others on the leadership team, assist the VPIT/CIO with divisional management, strategic planning, and creating a culture of innovation, communication, and service within ITS.

Duties

  • Support the VPIT/CIO with day-to-day activities, including calendar and meeting management, budget tracking, travel planning, and office organization.
  • Provide administrative support for Classroom Technology and Media Services, Enterprise Applications, Infrastructure Services, User Support Services, and Printing Services.
  • Oversee divisional purchasing, including quotations, purchase orders, budget allocation, invoice submission, and multi-year contract management.
  • Manage multi-function printer program including renewals, purchasing, billing, and overall process.
  • Manage special projects and divisional events, including divisional data collection, benchmarking, and survey response.
  • Maintain appropriate files, documents, and records for the division.
  • Maintain excellent customer relations; field information requests and/or support calls from the college community and identify and facilitate a handoff to the appropriate ITS resource.
  • Oversee student workers.
  • Effectively carry out other duties, as assigned.

Required Qualifications 

  • Associate’s degree and at least five years of high-level administrative experience, or an equivalent combination of education and experience.
  • Experience with procurement/purchasing processes.
  • Proficient with office computing hardware and software, including PCs and/or Apple computers, and Microsoft Office (Word, Excel, and PowerPoint).
  • Project and time management skills, with ability to effectively manage competing priorities.
  • Excellent verbal, written, interpersonal, and customer service skills.

Preferred Qualifications

  • Experience in an academic environment.
  • Experience using enterprise software applications and/or reporting tools.

Salary and Benefits

Salary: $53,000 - $58,000
