Career Advancement Center Department Assistant – Part-Time

This is a part-time, hourly position in the Career Advancement Center (CAC). The successful candidate will be the welcoming face of the Career Advancement Center, and will provide friendly customer service, coordinate front desk operations, and help plan and execute career-related events.  Lake Forest College is committed to helping students obtain productive and rewarding careers after graduation, and each staff member plays a critical role in helping the College to deliver on its mission from the admissions process through graduation. 


Job Description/Responsibilities:

  • Answer the phone and transfer calls, schedule appointments, welcome students and other visitors; explain available resources and trouble-shoot issues for students/employers visiting the career center and calling the office
  • Anticipate office needs, create administrative procedures, order supplies, make photocopies, and complete general office duties, working closely with student employees
  • Assist the Communication and Operations Coordinator with key office functions such as planning events, maintaining the budget, filing expense reports, and compiling data for annual reports
  • Provide event support which may include scheduling facilities, ordering catering, and managing relationships with vendors and on-campus partners; assisting with registration and event set-up, troubleshooting problems, and other logistics
  • Assist with the upkeep and management of the career services management database/system (Handshake) which may include data entry and reporting
  • Communicate through email, using proper grammar/spelling; draft communication to be sent to internal and external constituents
  • Complete additional duties as assigned



  • Ability to work:
    • 5 days/week during the Academic Year (Mid-August to Mid-May)
    • 2 days/week during the Summer (Mid-May – Mid-August); flexible hours
    • Additional hours during large events throughout the academic year
  • Previous administrative/secretarial experience expected
  • Strong focus on customer service; desire to work closely with students and employers
  • Ability to adapt and problem-solve as part of a team
  • Excellent verbal and written communication skills
  • Strong organizational skills; the ability to manage multiple projects at once
  • Proficiency with Microsoft Word (or similar), Microsoft Excel (or similar) and email client required (Microsoft Outlook experience a plus)
  • Experience with or ability to learn contact management system a plus
  • Event coordination or marketing experience a plus
